Release Preview #2: RPA teams take note: Agile automation now with X1

RPA goes agile: The X1 Process Board in kanban style is new. It offers you three decisive advantages at once: First, it documents process work. Second, it promotes agile collaboration. And third, it structures tasks for users and teams. As a result, agile work organization for RPA teams and RPA users becomes possible, making it easier and more efficient. Start your RPA year 2021 with X1 agile!

RPA is easy to implement, but complex nonetheless. This is especially true for the strategic and tactical issues associated with RPA. Leading market and RPA analysts confirm that three competencies are needed for successful company-wide RPA implementation: high transparency, high controllability of RPA (governance), and interdisciplinary collaboration. This is because RPA requires experts from both the business and IT sides.

Collaboration: A key success factor for RPA
Servicetrace recognized early on that collaboration is a critical RPA success factor. That’s why our X1 RPA platform was designed directly as an RPA management and RPA collaboration platform. On the one hand, RPA requires close collaboration between business and the IT department. On the other hand, it also takes different RPA roles, such as the process owner, the automation developer who creates the RPA workflow, and the project manager.

All the RPA users and RPA teams in an organization should collaborate effectively and as efficiently as possible – both virtually and internationally in different time zones. With X1, you can effectively organize and centrally control this specific collaboration of your RPA teams – in real time. You have always been able to manage access, permissions, roles, and responsibilities of users depending on the specific project. With our X1 Release 2021.1, agile collaboration in RPA projects is now also possible.

Six benefits of the X1 Process Board:

⭐ Documents process work in real time

⭐ Enables agile working

⭐ Structures tasks for teams & users

⭐Automatically creates new tasks based on the process status

⭐ Automatically updates user tasks in My X1

⭐ Makes work organization more efficient for teams & individuals

X1 Process Board in kanban style: Simplifies agile work and self-organization

The new X1 Process Board in kanban style clearly documents pending tasks and their status. At a glance, you can see which tasks are pending, their current status – started, in progress, and so on – and the current processor. When you create a new process in X1, you decide whether you want to use the X1 Process Board or not, depending on the process. If you decide to use the Process Board, it also automatically creates all the necessary tasks for process automation. This saves time and makes it easier to start the project.

A self-thinking kanban board: Automated task management

How does it work? The X1 platform is designed around X1 Lifecycle Management, a holistic concept that views the process of process automation as a lifecycle. With this lifecycle, X1 users can start, implement, and manage RPA projects very easily. This is because the X1 lifecycle covers all lifecycle and project phases of RPA. In addition, X1 Lifecycle Management has a user guide, which guide every user through process automation step by step, even if they don’t have any IT knowledge. The X1 Process Board is based on the X1 lifecycle concept and therefore knows exactly which steps and tasks are due next in process automation.

Therefore, when you create a process with the X1 Process Board, the board automatically generates the upcoming tasks. As the process progresses, the X1 Process Board updates the tasks based on the previous activities. For example, once the design phase of the BPMN process model is complete, the new task “build RPA workflow” – develop the RPA workflow – is created immediately. This automatic task update is optionally adjustable, of course.

Jira, Trello, Teams, or Slack: Easy synchronization with other tools
In the spirit of agile working, the X1 Process Board RPA thus also provides teams with a centralized view of project status, progress, and open tasks. For upcoming sprints, teams can then estimate and divide the effort. If someone moves an activity up a phase, for example to “Completed” status, the Process Board updates in real time for everyone. In addition to agile collaboration, the X1 Process Board thus also automatically documents the process of automation, without any additional effort.

Do you already use tools like Jira, Trello, Microsoft Teams, or Slack to manage your tasks? No problem at all. You can synchronize the X1 Process Board with other tools through a REST interface. And of course, the X1 Process Board is networked with the My X1 personal workspace. This means that as soon as a user grabs or is assigned a task, the user tasks in My X1 immediately update as well. The My X1 workspace is the user view of all personal tasks and processes a user is involved in.

Global trend: Agile working and kanban
Agile working has long been the standard in software development. Now, agility is spreading to other departments. Entire organizations are committing themselves to the agile way of working. Agile working is designed to address the circumstances of our increasingly complex business and corporate world. The goals of agile working are more flexibility, greater dynamics, and higher effectiveness. It is about clearly defined goals and results, on which teams work together instead of the simple, often aimless processing of any tasks. Self-organization and personal responsibility are important characteristics of every agile method like kanban.
